Mailing Address Service at The Village Works

Mailing Address Service is included with Virtual Office Membership as well as Executive Package and Private Office memberships. It’s available as an add-on to all other memberships for $50/month. Mailing Address Service includes a physical business address at The Village Works, addressed to your suite number.

Once your mailing address service is set up, you will receive a personal suite number that must be used with all incoming mail. Mail without a suite number may not be delivered and may be returned to sender.

You’ll also have to fill out some online paperwork including acknowledging these policies, giving permission to receive your mail, and designating any additional services.

These policies are in addition to Terms of Use from your membership. 

Membership and Mail Fees

To add Virtual Office or Mailing Address Service, The Village Works will charge first (prorated) and last month fee for this service. Going forward, membership fees are charged on the first of the month. Your last month fee will be applied upon cancellation in writing, to align with your one month cancellation notice requirement. 

Once service is confirmed, you’ll receive a suite number. Include this suite number on all mail. Mail received without a suite number or the primary name associated with your account may be returned to sender!

Picking Up Mail and Packages

You can pick up current mail and packages with the TVW Teammate at the front desk during our normal business hours of Monday to Friday 9AM-5PM (except national holidays). We always suggest coordinating your arrival time to ensure a quick pickup, since TVW Teammates may be in a meeting on your arrival. We can also arrange an off-hours pickup in advance. Email hello@thevillageworks.com or select a time at calendly.com/thevillageworks/mail to coordinate. The Village Works is not responsible for any belongings on site. 

Members or their officially designated representatives can pick up physical mail during business hours. To designate a pickup person, contact us by email in advance of their arrival and wait for our confirmation. We must receive an email from a primary contact person on the account with the full name of the designated pickup person. If you would like your mail forwarded, contact hello@thevillageworks.com to set up a temporary or ongoing forwarding arrangement. There is a $5 administrative fee plus postage. 

Packages

We can receive a limited number of packages during business hours. We do not have long-term storage or secure storage. Packages must be retrieved within two business days, or they will be put into long-term storage. Oversized packages may be put into long-term storage immediately.  To retrieve packages from long-term storage, please sign up for a pickup time at calendly.com/thevillageworks/mail. Please contact us if you will be unable to pick up your package. TVW reserves the right to refuse receipt of packages that we cannot safely move due to size or weight, or packages that are hazardous, perishable, or fragile.

 

Non-Pickup Fees

Packages and mail left longer than 30 days will be charged a storage fee of $5 per month per parcel or batch of mail. Mail and packages that are not collected may be forwarded at TVW’s discretion at the normal fee ($5 administrative fee plus USPS Priority Postage, or other postage selected by TVW, due on sending).

 

Cancellation and Downgrading

You can cancel your Mailing Address Service by emailing hello@thevillageworks.com. Cancellation notice requirement applies. 

If you have a coworking membership and want to keep mail service but downgrade your coworking membership, you can switch to our lowest access and lowest cost mail option called Virtual Office (current price $95/month as of this writing). This includes the benefits of a basic Community Membership plus mailing address service. You may discontinue Mailing Address Service while keeping your coworking membership, and mail will be treated as a canceled account.

When Mailing Address Service is canceled, member may pick up accumulated mail before the end of the valid membership period. Member may request, at their expense, for all mail to be forwarded to their permanent mailing address for up to six months after cancellation. In this case, mail is forwarded upon arrival with the normal fees of $5 per trip to the post office plus USPS Priority Mail postage, due on sending. This is a basic service and does not include notification. Member must maintain a valid payment method on file for charges or forwarding will be discontinued.

Payment Method

We understand that payment methods may occasionally fail. Member must maintain a valid payment method on file. Membership fee is charged automatically on the 1st day of each calendar month. If a payment fails, member has one month to provide updated valid payment before membership cancellation. Payment method can be updated at any time on the member portal at thevillageworks.officernd.com or contact us for assistance. TVW will notify you by email automatically about any failed payment attempts.

Additional Services: Forwarding, Scanning, or Discarding

With prior arrangement and written permission, mail can be scanned, discarded, or shredded. These additional services will trigger administrative fees to cover staff time and can be arranged on a set schedule (e.g. weekly or monthly) or as items arrive.

Additional Optional Services and Fees

  • Forwarding: $5 per trip to the post office plus USPS Priority Rate postage (envelopes only)
  • Scanning: $5 per session (batched items on a schedule or per-item)
  • Discarding: No fee, but you must forward your notification email to hello@thevillageworks.com with photo attachments and instructions to discard specific pieces of mail. Shredding is not currently offered.

Updating Your Information

Please contact us immediately to update any personal or business names associated with your mailing address. Member must maintain current contact information including address, email, and phone number in order to continue receiving mail at TVW as well as a valid payment method for automatic billing. 

Public branding

The Village Works is home to a variety of professional members and member organizations, so these policies clarify TVW’s restrictions for public-facing member address presence, where confusion could arise between TVW and its members. 

Members with Mailing Address Service may choose to include their TVW address as a professional location (always including suite number) on public-facing materials such as business cards or websites. The Village Works can never be mentioned in conjunction with member brands or organizations without prior written permission. The address may not be used on public-facing material where there could be confusion by the public, or perception of a brick and mortar location that prompts unscheduled walk-ins of clients or associates. Violating these terms and policies can result in termination of the mailing address service.
